Answer the following questions

  1. What is database? Give any two examples of database.
    The systematic collection of interrelated data which are organized so that they can be easily accessed and managed is called database.
    Example includes: telephone directory, mark ledger, census, dictionary, attendance register etc.

  2. What is DBMS?
    DBMS stands for Database Management System. It is a software for creating and managing the database allowing the user to store, modify, update, organize and retrieve the information from the database.

  3. List the advantages of DBMS.
    i. Large volume of data can be stored and updated easily.
    ii. It provides data integrity and security.
    iii. It reduces data redundancy (duplication of data) problems.
    iv. It supports data sharing facility.
    v. It helps in faster access of data.

  4. What is RDBMS?
    It stands for Relational Database Management System. RDBMS is a type of DBMS that stores database in multiple tables which can be linked to each other on the basis of a key field.
    Example includes: MS-Access, ORACLE etc.

  5. What is MS-Access? What is the extension of file created in MS-Access?
    MS-Access is a RDBMS that allows a user to store data in multiple tables. It was developed by Microsoft Corporation.

  6. Write down the objects of MS-Access.
    Following are the objects of MS-Access:
    i. Table
    ii. Field
    iii. Record
    iv. Query
    v. Forms
    vi. Report

  7. What is table? What are the ways of creating tables in database?
    A table is a container or structure that stores data in the form of rows and columns. It may have one or more number of rows and columns.
    The ways of creating a table in database are:
    i. Using Design View
    ii. Entering data in a Datasheet View
    iii. Using Table Wizard

  8. Define field and record?
    A field in a database table refers to the column of a table that stores a particular type of data. Each field in a table has its name which describes what type of data it can have in it.
    A record refers row in a table that gives information about a particular person or things.

  9. What is tuple?
    A row in a table is called a tuple. It is a record about a thing or person.

  10. What is Query? List any two advantages of it.
    Query is an object of MS-Access that allows you to retrieve, view, update, and analyze data according to the given condition. Queries can access a single table or multiple tables.
    i. It displays the records of different tables.
    ii. It allows to sort and filter the data.
    iii. It manipulates the data according to the user’s choice.
    iv. It allows viewing, changing and analyzing the data.

  11. What is form? Write two advantages of using form.
    A form is an object in MS-Access that is used to create an interface for entering data to a table or multiple linked tables.
    i. It is used modify data directly into the table.
    ii. It provides interface to enter and update data.

  12. What is validation text and validation rule?
    Validation text is an error message that is displayed if the data entered is invalid according to the specified validation rule.

    Validation rule is a field property that limits the values that can be entered in a field.

  13. What is primary key? Write any two importance of primary key.
    A primary key is a field that uniquely identifies record in a table so that there will not be the repetition of data.
    Importance of primary key:
    i. To reduce data redundancy.
    ii. To identify unique record in the table.
    iii. To set link among the different tables.

  14. What is foreign key?
    A foreign key is a linking pin between the two tables. It allows to store duplicate data but doesn’t accept null value.

  15. What is compound key (Composite Key)?
    A compound key is a key that consists of multiple columns because one column is not sufficient to store data uniquely.

  16. What is data sorting? List any two advantages of using it.
    The process of arranging the data either in ascending or descending order is called data sorting.
    i. It increases the speed of searching data.
    ii. It reduces the data redundancy.
    iii. It makes data easier to analyze.

  17. What is report? Mention its uses.
    A report is an object of a database that provides a ready-to-print documents according to users specifications.

  18. What is data redundancy?
    The repetition of same data in the particular field is called data redundancy.

  19. What are the types of Query? List them.
    Following are the types of Query:
    i. Select Query
    ii. Action Query

  20. Differentiate between Select Query and Update Query.
  21. What is filtering?
    The process of displaying specific or particular records of the table that satisfies the specified criteria is meant by filtering records.

  22. What is indexing?
    Indexing is one of the field property and feature of MS-Access that stores the location of the database on the fields we choose to index.
    It is important to speed up the searching and sorting the data from the database.

  23. What is relationship?
    A relationship is a link between two or more tables, so that we can work with them much as we do a single table.

  24. Which view is used to modify the table in MS-Access?
    Design view is used to modify table in MS-Access.

  25. Which data type is used in MS-Access to store photo?
    OLE data type is used in MS-Access to store photo.

  26. Which data type is used to store date of birth of an employee in MS-Access?
    Date and Time data type is used to store date of birth of an employee in MS-Access.

  27. What is the default size of text field in MS-Access?
    The default size of a text field in MS-Access is 255 characters.

  28. Which data type is used to store numeric character or special symbols in MS-Access?
    Text is a datatype used to store numeric character or special symbols in MS-Access.
